Every second software vendor now has an “AI feature.” Most of it is a chatbot bolted onto a product that never needed one, or a demo that falls over the moment you hand it real work. A human still signs off. Nobody types anything.

2. Triaging the inbox

Shared inboxes are where work goes to get lost. support@, accounts@, info@: mail lands, someone reads it, decides who it’s for, forwards it, and half of it slips through anyway.

An inbox automation reads each message as it arrives, classifies it, routes it to the right person or system, and drafts a first response for a human to check and send. Action items get pulled out and dropped into your CRM or ticketing system so nothing depends on someone remembering. The customer gets answered faster, and your team stops playing email switchboard.

The point here is not to remove the human. It is to remove the sorting. The judgement stays with your staff; the triage doesn’t need them.

3. A copilot over your own data

This is the one people misunderstand most, because the public chatbots have trained everyone to expect either generic answers or confident nonsense. An internal copilot is different. It only knows your data: your policies, your product specs, your client notes, your past quotes, your procedures. Staff ask it questions in plain English and get answers grounded in your own records, with a link back to the source document.

“What did we quote this client last year?” “What’s our policy on return freight?” “Which suppliers can ship to WA?” The answers already exist somewhere in SharePoint, a shared drive, or three different inboxes. A copilot is what turns “somewhere” into “here, in five seconds.”

Because it is built on your data and cites where each answer came from, it doesn’t invent product specs the way a website bot will. That grounding is the whole difference between a tool staff actually use and a novelty they stop trusting after the first wrong answer.

4. Quoting and reporting that isn’t a spreadsheet
