01 — INBOUND PROTECTION

Stop threats before they reach the inbox

Every inbound message passes through Mail Shield before reaching your mail server. Spam, phishing, business email compromise, malware attachments, and impersonation attempts are identified and quarantined at the edge — before anyone can act on them.

  • Spam filtering — multi-layer scoring with tunable sensitivity per domain.
  • Phishing detection — link analysis, sender reputation, lookalike domain flagging.
  • Business email compromise (BEC) — display-name spoofing, impersonation of executives and vendors.
  • Malware and ransomware — attachment scanning against known threat signatures.
  • SPF, DKIM, DMARC enforcement — messages failing authentication flagged or rejected per policy.
  • Quarantine — blocked mail held for review, not deleted. Daily digest to users. Admins retain full visibility.
02 — OUTBOUND FILTERING

Protect your sending reputation

Compromised accounts sending spam is how legitimate mail servers end up on blacklists. Outbound Mail Shield scanning catches unusual sending behaviour early, enforces rate limits, and prevents your IP or domain from being listed.

  • Outbound rate limiting — catches compromised accounts before the damage is done.
  • Content scanning — flags messages matching spam or malware patterns before delivery.
  • Blacklist protection — your IP reputation actively managed, not left to chance.
  • TLS enforcement — outbound mail delivered over encrypted transport where supported.
03 — MANAGED SERVICE

Specialist-managed, not self-service

Mail Shield isn't a portal you're left to configure. The engineers who built it manage it — tuning filters, reviewing false positives, adjusting policy, and responding when something unusual happens.

  • Australian support — direct access to the team managing your gateway. No call centres.
  • Ongoing tuning — false positives reviewed and rules adjusted as your mail patterns evolve.
  • Incident response — unusual sending behaviour flagged before it becomes a problem.
  • Monthly reporting — blocked threat summary, sending volume, quarantine activity.
COMMON QUESTIONS

Email security, explained plainly.

What is an email security gateway?

An email security gateway sits between the internet and your mail server, inspecting every inbound and outbound message before it reaches your inbox or leaves your network. It blocks spam, phishing emails, malware attachments, and impersonation attempts at the network edge — before they can be acted on.

What does Mail Shield protect against?

Mail Shield filters inbound threats including spam, phishing, business email compromise (BEC), malware and ransomware attachments, and spoofing or impersonation attacks. Outbound filtering catches compromised accounts sending spam and prevents your sending IP from being blacklisted. Mail Shield also enforces SPF, DKIM and DMARC alignment per your policy.

How is Mail Shield different from Microsoft 365 Defender?

Microsoft 365 Defender (formerly Exchange Online Protection) is built into Microsoft 365 but configured for broad compatibility, not strict security. Mail Shield applies tighter filtering, adds a dedicated spam quarantine separate from your Microsoft tenant, and is managed by Australian specialists who tune and review it continuously — not a self-service portal you're expected to configure yourself.

Is Mail Shield hosted in Australia?

Yes. Mail Shield runs on Australian infrastructure — no data is routed offshore. This matters for organisations with data sovereignty requirements under the Privacy Act or industry-specific compliance obligations.

How much does Mail Shield cost?

Mail Shield starts at AUD $25 per user per month with no lock-in contract and no setup fee. The fee covers gateway filtering, quarantine management, ongoing threat definition updates, and support from the Australian team managing your gateway. Contact us for volume pricing.

How long does setup take?

A standard Mail Shield deployment requires changing your domain's MX records to route inbound mail through the gateway. This change takes effect within the DNS TTL period — usually under an hour. Full setup including configuration, testing and initial tuning typically completes within one business day.

What happens if a legitimate email is blocked?

Quarantined messages are held for review and not deleted. Users receive a daily digest of quarantined messages and can release items themselves. Administrators can review the quarantine at any time and adjust allow or block rules. False positives are a normal part of any filtering system — our tuning process reduces them over time as your mail patterns are learned.
